We are committed to protecting your personal data and respecting your privacy. This Privacy Policy outlines how we collect, use, store, and protect your information when you submit a request through our form.

1. Who We Are

ALIVE is a 5-year research project (1 September 2021 – 31 August 2026) funded by the Wellcome Trust [221940/Z/20/Z], led by King’s College London (Strand, London, WC2R 2LS). We are responsible for the handling and protection of the personal data you provide through this form.

2. What Information We Collect

When you submit the form, we collect the following personal information:

  • Full name
  • Organisation
  • Email address
  • Phone number
  • Country

This is considered personally identifiable information (PII) and to be treated with care in accordance with the UK General Data Protection Regulation (UK GDPR). Without this information, we are unable to grant you access to the ALIVE manuals.

3. Why We Collect Your Data

We collect this data for the following purposes:

  • To provide you with access to the ALIVE intervention manuals and related materials
  • To follow up with you regarding your request or future updates relevant to the project
  • To understand who is using the intervention materials and for what purpose (for internal reporting and improvement only)

We do not use your information for marketing purposes, nor do we share your information with third parties without your explicit consent, unless required by law.

4. Legal Basis for Processing

We process your data on the basis of:

  • Your consent: You give your explicit consent by ticking the checkbox on our form
  • Legitimate interests: It is in our legitimate interest to provide access to the requested resources, track usage, and ensure engagement with the project. 

We have conducted a legitimate interests assessment (LIA) to ensure this processing does not override your rights and freedoms.

5. How Your Data Is Stored

Your submission is securely stored in a protected Google Sheet, accessible only via a hashed, unlisted URL. Only authorised staff have access to this data. The backend system that processes your submission is secured and cannot be accessed by external users or bots.

Google may store and process your data on servers located outside the United Kingdom, including in the United States. These transfers are protected by:

  • Standard Contractual Clauses (SCCs) and the UK Addendum, which provide an appropriate safeguard for your data in line with Article 46 of the UK GDPR.

6. How Long We Keep Your Data

We retain your personal data for no longer than necessary. Typically, this is up to 24 months from the date of submission, unless a longer period is required for legal or reporting reasons.

After this time, data will be securely deleted from our systems and removed from backups during routine data purging.

7. Your Data Protection Rights

Under UK data protection law, you have the following rights:

  • To access the personal data we hold about you
  • To request correction of inaccurate or incomplete data
  • To request deletion of your data
  • To withdraw your consent at any time
  • To object to or restrict certain types of processing

8. Security Measures

We take appropriate technical and organisational measures to protect your data:

  • Form submissions are protected by Google reCAPTCHA.
  • The data is only accessible by authorised team members.
  • We conduct periodic reviews of access permissions and stored data.

9. Third-Party Services

Your data is stored using Google Workspace tools (Google Sheets). These services are compliant with UK GDPR and offer appropriate safeguards for data storage and transfer. We use Google Workspace (Google Ireland Ltd) to host our form responses. Your data may be processed on servers located in the United States. Transfers are covered by Google’s Standard Contractual Clauses and the UK Addendum, which provide an adequate safeguard under Article 46 UK GDPR.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The latest version will always be available via the form or on our website. We recommend reviewing it periodically.
